If you have stakeholders who engage with you using multiple sets of contact information – like signing up to receive information with both their personal AND work email addresses, for example – you may want to consider merging their two profiles in the database for a more accurate count of your stakeholders, and to make it easier to keep track of what those stakeholders are doing.
Merging 2 Stakeholder Profiles
Step 1 in the process is to find the stakeholder record you’d like merged into another profile. To find a particular stakeholder, use the Advanced Search or Quick Search and click into their record.
When merging stakeholders, always start the process on the profile screen of the stakeholder who will be merged into the other record. This will be the “loser” of the merge whose record will be merged into the “winner”
Once you’ve navigated to a specific stakeholder profile, look for Options toward the middle top of the screen. There, you’ll see links to edit, merge or delete the specific stakeholder. Click into merge to be taken to the Stakeholder Merge Screen.
On the Merge Screen
Now on the merge screen, you’ll be shown a note that let’s you know that this stakeholder will be the “loser” of the merge. Any action, activities, points, key contacts, notes and other data will be transferred over to the “winner” of the merge.
To find the “winner” of the merge, scroll down to the box labeled Search for the person you want to keep. In that text area, begin typing in the name of the stakeholder you’d like to assign as the “winner.” Remember, to search for a specific stakeholder by full name, use quotation marks around their information. (e.g. “Bryan Fratkin”)
Names will be returned as you begin to type. Select the radio button next to Stakeholder you’d like to mark as the “winner” and scroll down to the bottom of the screen. When ready, click “Merge These People” to finalize the process.
Result
After you click “Merge These People,” the system will return you to the “Winner’s” profile, where you can now see the additional information that’s been added to their profile.
You can merge multiple profiles into one, you’ll just need to complete the process multiple times to ensure all data is moved properly.
